WhatsApp Business as a business record
If your customer conversations live in WhatsApp Business, they're part of your business record. A simple archive cadence using Chat Hoarding, and what the .tarc format gives you that a screenshot doesn't.

Plenty of small businesses run real commerce over WhatsApp Business. Almost none have a plan for keeping those chats as records. A minimum viable plan below.
Why WhatsApp Business chats are records
A customer order confirmed in chat, a refund agreed in chat, a contractor scope changed in chat — these are records of what was said and agreed, regardless of which platform they happened on. If a conversation later gets disputed (the customer claims they ordered a different quantity, the contractor claims a different fee), the chat is often the only contemporaneous account.
A minimum viable archive cadence
- Weekly: open WhatsApp Business → Settings → Chats → Chat backup → Back Up Now. This refreshes the Crypt15 file on your phone.
- Monthly: pull the Crypt15 file to your Mac via Chat Hoarding for Android (or USB MTP), decrypt with your 64-digit key, save as Q1-2026.tarc.
- Quarterly: copy the .tarc to one offline drive and one cloud location. Done.
How long to keep records
Retention windows vary by country, by tax regime, and by the type of record. This is not legal or tax advice; check your local rules with your accountant. As a planning shape: a quarterly cadence means four .tarc files per year, which scales cleanly to whatever retention window applies to your business.
What the .tarc format gets you that a screenshot doesn't
- Source-level message body, sender JID, timestamp — the same data WhatsApp's database stored, not a re-rendering
- Receipts (delivered, read) survive into the archive: useful for 'I sent it but they ignored it' disputes
- Media files attached to the messages they belong to, inside one bundle (forensic SHA-256 + RFC 3161 timestamping on the roadmap)
- One file per quarter that opens on any Mac (today; cross-platform reader on the roadmap)
Personal WhatsApp on the same phone
Many small-business owners run personal WhatsApp (com.whatsapp) and WhatsApp Business (com.whatsapp.w4b) on the same Android. Chat Hoarding for Android shows both backup folders separately. Pick the Business one for records; archive personal independently for family/personal reasons.

Whether a given chat is treated as a formal business record depends on your jurisdiction and the type of record involved. Many tax and disclosure regimes accept contemporaneous written communication as part of the record set. Talk to your accountant or lawyer about the rules where you operate.
Is a .tarc usable in a dispute?
A .tarc preserves the source data WhatsApp's database actually stored — message bodies, sender IDs, receipts, timestamps, group history, reply context. Forensic SHA-256 + RFC 3161 timestamping is on the roadmap. Whether any specific dispute, court, or auditor accepts the preservation is for the professional handling the matter to decide.
